The Law Society of Yukon is seeking a highly organized, motivated and professional Regulatory & Executive Coordinator to join our team in Whitehorse.
The Law Society of Yukon is authorized by the Legal Profession Act, 2017 to regulate the practice of law and the legal profession in the public interest. It protects the public interest in the administration of justice by setting and enforcing standards of learning, competence, and professional conduct for lawyers.
The Regulatory & Executive Coordinator will play an important role in our continued work to modernize our internal processes and continued work to support the legal profession and the public, while supporting the Law Society’s day-to-day regulatory operations. This position includes responsibilities for professional licensing and membership administration, as well as executive and organizational support, with opportunities to contribute to improvements in how the organization operates.
As part of a small team, the successful candidate will work across many areas of the organization and develop a broad understanding of professional regulation in the Yukon and across Canada.
Key Responsibilities
Membership, Licensing & Regulatory Administration
- Administer professional licensing and membership processes, including reviewing and processing applications, communicating with applicants and members, coordinating approvals and maintaining accurate records.
- Provide information and assistance to lawyers, applicants and other stakeholders regarding membership and licensing requirements.
- Manage ongoing licensing and membership requirements, including annual renewals, member insurance, status changes, permits, certificates and related regulatory processes.
- Maintain accurate member records, databases and tracking systems and monitor regulatory requirements, renewals and deadlines.
- Develop and maintain a strong working knowledge of the Legal Profession Act, 2017, the Rules of the Law Society of Yukon, and applicable policies and procedures.
Executive, Governance and Organizational Support
- Provide administrative and organizational support to the Executive Director and senior staff, including assisting with research, correspondence and organizational initiatives.
- Assist with research and monitoring developments and emerging issues relevant to the regulation of the legal profession, including jurisdictional research to support policy, rule and process changes.
- Support the ongoing modernization of the Law Society’s administrative and regulatory processes, including the implementation and improvement of digital systems, online services and internal workflows.
- Oversee records management practices, including the organization, maintenance and appropriate retention of electronic and physical records.
Qualifications
The ideal candidate will have:
- Relevant post-secondary education and experience in administration or a related field, or an equivalent combination of education and experience.
- Strong organizational and time-management skills, with exceptional attention to detail and the ability to independently manage multiple processes, deadlines and competing priorities.
- Excellent written and verbal communication skills, including the ability to prepare clear and professional correspondence and materials.
- Strong judgement, discretion and professionalism when handling confidential and sensitive information.
- The ability to interpret and apply legislation, rules, policies and established procedures.
- Proficiency in Microsoft 365, including Outlook, Word, Excel, SharePoint and the ability to confidently learn and use new digital systems.
- Experience conducting research, including locating, reviewing and summarizing information from multiple sources.
Experience working in legal, regulatory or a professional services environment, as well as the ability to communicate in French, would be considered assets.
